AYB:Bill is not a complicated, complex program like many of our competitors, but instead is intuitive and easy to use.  Today's medical billing world is full of new lingo, tons of buzz-words yet short of ease of use.  If you look at some of our competitors' products, you'll see a multitude of harsh looking and confusing windows littering the screen instead of a well-built and easy to use medical billing program.  Instead of developing our system for programmers, we've designed it with real people in mind.  We know you have a job to do, so we've made AYB:Bill fast, efficient and reliable.  We haven't stripped away flexibility, either.  Our system is a great balance of powerful features, convenience and ease of use.

AYB:Bill features some familiar functions that users of the popular Minimation* system will feel right at home with, but will still be easily understood by those who have never seen Minimation before.  It also combines today's powerful technology with lack of complexity to create a perfect union.

Making the switch will be easy
If you are currently a Minimation or Medisoft user, switching to our medical billing software will be easy.  We have already completed the Minimation database converter; the migration tool for Medisoft will be ready a few months after our new system's release.  Minimation users as well as Medisoft users will appreciate the power and ease-of-use our Windows-compatible system offers.

Our modern replacement for Minimation
Because of the rapid and frequent changes required by agencies, health care programs and the HIPAA directive, the ability to update Minimation any further after Version 2 will be severely impaired.  The DOS-based technology used to produce the Minimation program is very limited by today's standards, and useful and exciting features that we would like to incorporate into Minimation cannot be realized without shifting current Minimation users to a modern system...AYB:Bill.


AYB:Bill will replace Minimation.  While Minimation is a product of Medical Billing Systems, Inc. AYB Technical Services can provide a Windows-compatible replacement.

The program will have some similarities to today’s Minimation, and will work with your current Minimation database files after a straight-forward conversion process.  Our system will offer many enhancements and will simplify the process of computer-based medical billing.  AYB:Bill is NOT a re-worked copy of MBS’s now defunct Minimation Windows Version, but a fresh, new approach.  We are continuously working with customers to make this new software an easy-to-use, efficient medical billing system for today’s world. 

Optional Scheduler available later
Demand has been nearly non-existent for a scheduler module that could be included with our medical billing system.  Because of this, AYB:Bill does not not ship with a scheduler, however an option for a scheduler will be offered at a later date.  Please check this site for future announcements regarding this feature.

AYB:Bill was developed with suggestions and feedback from our customers.  If there is something you would like to see added or changed, just let us know.  We're always listening.  If we feel your request will benefit you as well as all of our customers, we'll do our best to include it in the next update or version.  Undoubtedly as certain aspects of the medical billing field constantly change, we will offer updates to help you change with it.

Our system features customizable fields for your individual needs.  Not all practices are the same, so in addition to common medical billing data, offices can fit AYB:Bill around their practice, instead of fitting their practice around the software.  What's great is that we're flexible enough to customize our software in other ways for customers who require it

Software Details:
The AYB:Bill purchase price includes initial installation and configuration of AYB:Bill on 3 or less workstations and one server, 6 or 12 month support package and installation-day mileage.  Each additional workstation is $50 extra.  For offices with more than 10 workstations, please contact us about volume pricing.

Extra labor charges apply if extra hardware and/or software installation/configuration (including virus detection and removal) is necessary to make AYB:Bill work with your computers and/or network.  

Support Package Details:
All packages include Internet remote-control AYB:Bill and limited hardware/other software support free of labor charges for offices with 10 or less workstations and one server.  On-site support is NOT included in the package price and must be paid for separately.  6 or 12 month support packages include software training at no additional charge on the same day as installation with additional training charged at normal hourly rates and mileage charges.  If you require on-site support in addition to Internet remote support, your office has more than 10 workstations or more than one server, or if you have satellite offices that need coverage, please contact us for pricing. 

Labor charges apply when hardware or other software issues you are experiencing are outside the scope of the support package agreement.  The scope of the support package agreement is indicated clearly on the agreement itself, but the final determination of whether your issue is covered or not is made by the technician who provides you support. 

Mileage charges are never applied for remote-control support. 

While covered under a support package, you qualify for discounts on qualifying updates and select other software.  Any AYB:Bill updates necessary to correct software defects are provided free of charge while you are covered under a support package.  If you are outside the support package support period, charges may apply for updates.

Remote-control Internet support is available if all of the following are true:  You have a high-speed Internet connection such as DSL, cable or T-1; your routers and other network equipment can be configured for our remote-control access software; you allow our remote-control access software to run continuously.  If we provide five or more remote-control support sessions within the span of one calendar month, extra charges may apply.

NOTE: Any customer, 'core', 'standard' or 'new' who purchases AYB:Bill and a one-year support package will be considered a 'core' customer after the end of the coverage period and will qualify for 'core customer' pricing if they continue to maintain contiguous support package purchases.

Standard customer:

AYB:Bill medical billing system FAQ:  (Frequently Asked Questions)


Q. Will AYB:Bill work on my computer?
A. Please see the System Requirements above.  As a general rule of thumb, if your computer is more than 4 years old,  more than likely you will need to update or replace it in order to run Windows XP and AYB:Bill.  If your computer is running Windows 2000 SP4*, XP Home or Professional (SP2) and has an Intel or AMD processor running at 800 MHz or faster, 256 MB of RAM and 1.2 GB of free space on the hard-disk, your computer will be able to run this new system.  Customers running Windows Vista will need a processor running at least 2.8 GHz or faster and a minimum of 1 GB RAM.  Also, offices that will be running the system with a network must update their network cabling and hardware if it is not already capable of 100 megabit or faster speeds and MUST have a dedicated server for this new billing system. 

Some older dot-matrix printers are not 100 percent compatible with Windows printing and may require replacement.  Printers such as the Okidata Microline 320 and Epson LQ-570+ are known to be 100 percent compatible.  Also, most modern laser and ink-jet printers will work fine with AYB:Bill.  If you are uncertain that your printer will work, please contact us with your printer information.

Most modern Macintosh or Linux PCs computers running Virtual PC, Wine, Darwine, Parallels, Guest PC or other virtualization software should work, but please consult with us ahead of time to make sure. 

Unfortunately, Windows 95, NT, 98, 98 SE and ME are NOT supported.  Computers slower than 800 MHz are NOT recommended, and in your best interests, as well as ours, we will not be able to install the program on any computer or network that we feel does not meet minimum requirements.  Supporting older, less reliable computers and networks can be time-consuming and costly for you, as well as us.  We can provide updates, upgrades or complete workstation and server computers for you at reasonable prices.  Please contact us for more information.  * Windows 2000 users may need data-access updates to their system before using AYB:Bill

Q. Does AYB:Bill work on Windows Vista?
A. Yes.  We have performed testing of AYB:Bill with Microsoft Vista and it appears to function normally, and AYB:Bill even runs a little faster on Vista than Windows XP and 2000.

Q. What is a dedicated server and why do I need one?
A. Those customers who will be using AYB:Bill over a network will need to have a dedicated server.  A dedicated server is one computer that needs to be set aside only for the task of sharing the AYB:Bill database files over the network.  This dedicated server computer cannot be used for other purposes, such as acting as a server AND workstation.  A dedicated server is necessary for good database performance and reliability.  If you choose not to use a dedicated server with AYB:Bill, you may experience less than optimal performance and reliability.


Q. Is your system hard to learn?
A. From the feedback we've received, no.  AYB:Bill was designed in such a way where everything is intuitive and easy to understand.  You won't be scratching your head, trying to figure out vague icons or confusing forms.  For a large percentage of our customers (new and existing), our new system should be very easy to learn and use.  Existing customers who use Minimation Version 2 will immediately recognize some similarities, thus making the transition that must easier.  We've worked with many existing customers to find a good balance between powerful features, ease of use and efficiency.


Q. What if there are features I want added or changes I'd like made to AYB:Bill?
A. As previously mentioned, AYB:Bill was built on suggestions and feedback from our customers.  Just because our software has reached Version 1.1 doesn't mean we're going to stop listening.  The only way AYB:Bill will grow and change into an even more refined system is by us listening to you, the customer, and making AYB:Bill better fit you and your needs.  Don't live with something that you don't like.  Don't be afraid to ask for a change or a new feature.  Click here to visit our contact page and let us know!  If we feel your suggestion is reasonable and will benefit all of our customers, we'll do our very best to incorporate your request into an upcoming update or version.

Q. Our office's primary language is not English.  Can you make AYB:Bill for our language?
A. In most cases, yes.  Please click here to contact us regarding your needs.  Also, AYB:Bill currently offers many patient printouts such as statements in both English and Spanish.

Q. What is this 'Minimation' you keep mentioning?
A. When we first started AYB Technical Services, most all of our customers were using the DOS-based Minimation medical billing system originally developed by now-defunct Medical Billing Systems, Inc.  Many Minimation users view this page, so we've made a few comparisons between Minimation and AYB:Bill.  While we've updated and supported Minimation and feel that it has been a great package for just about twenty years, we feel that it's time to move our customers to a more modern, and efficient Windows-compatible, non-DOS-based replacement.  If you're not using Minimation or haven't even heard of Minimation, don't feel left out.  All references to Minimation are simply for the benefit of current Minimation users.  You don't need to be using Minimation to benefit from AYB:Bill.


Q. I've been using only the keyboard for years, do I have to use a mouse with your software?
A. Not if you don't want to.  We realize that existing customers, as well as users of other software packages have used only the keyboard for decades on their current medical billing systems.  While our software is Windows-compatible, and you can access all central functions with the mouse, nearly everything is within easy reach by just using the keyboard.  All frequently used functions and menu items are just a couple of keystrokes, OR mouse clicks, away.

Q. Do you have a version for Linux or Mac OS X ?
A. We are planning to release AYB:Bill for Linux and Mac OS X in the near future.

The technology to release AYB:Bill on these two platforms has just recently become stable.  Because a medical billing program requires stability, we did not want to release a questionable product by using an unstable technology.  We are in early development of AYB:Bill 2, which will run on Windows, Linux and Mac OS X.  We'll keep you updated as new milestones are reached.

Q. Will my existing database files work with AYB:Bill?
A. This depends on which medical billing program you're currently using.  If you are currently using Minimation Version 2, your files will be quickly converted to our system's database format and you'll be up and running in no time.  We are also planning to develop a migration tool for Medisoft users, as well.  If you are not using Minimation or Medisoft at this time, and are considering our system as your next logical choice, please contact us immediately so that we can review your program's database and develop a conversion strategy.  Depending on the complexity of your non-Minimation database, an extra charge may apply for a custom conversion utility.

Q. How will electronic billing work?
A. In short, AYB:Bill will generate the appropriate electronic billing file that you will then send manually using Window's HyperTerminal, the Internet or other methods.  It is planned to have electronic billing files sent directly from the program, but this cannot be implemented until some key insurance carriers modernize their systems.  When these insurance carriers modernize, we will then offer an update.

Q. Does AYB:Bill handle the NPI?
A. Yes, AYB:Bill can generate claims both on the new HCFA/CMS-1500 as well as electronically with the newly mandated NPI.


Q. Is AYB:Bill HIPAA compliant?

A. Yes, AYB:Bill is HIPAA compliant and will generate ANSI 837 4010A1 formatted electronic billing files, as well as legacy formats for carriers who are not yet ready for 4010A1 claims.  Regarding patient privacy, there are many privacy settings in the program that allow control over how patient information is displayed on the screen and on printed statements and reports.  You can view the HIPAA compliance certificates here and here.

Q. Will you install this software for me, or do I have to install it myself?
A. You can choose to have us convert your database files (if necessary) and install the program, or you can do it yourself.  We may charge you for installation in addition to the price of the software, depending on certain factors.  While we highly recommend current Minimation users have us do the conversion and installation, the installation process should be smooth, with most procedures being carried out automatically by the installation program.

Q. Will it still be necessary to do database maintenance such as expanding, preassigning, reindexing, etc?
A. No.  The database system used by AYB:Bill does most database maintenance automatically, 'on the fly' so to speak.  Our new software will automatically backup and compress your database and configuration files on a daily basis, and can optionally create copies of the backups in alternate locations for added peace of mind.  After a short time, we'll also offer an off-site, secure online backup service for your database and other important files, so in the unfortunate event something happens to your office or computers, your data will still be safe and easily retrievable.  We do suggest, however, that you have us perform semi-annual maintenance on your database to keep it in good shape

Q. Aren't you part of Medical Billing Systems (MBS, Inc.)?
A. An emphatic 'NO'!  We are in no way associated with MBS, Inc. and do not even know if they still exist.  Our lead programmer and technician previously worked with MBS, Inc. many years ago, but since MBS, Inc. ceased normal operations in early 2003, we have had no ties with them whatsoever.  We even attempted to contact MBS, Inc. multiple times to forge an alliance with them, however they declined each invitation and have not been heard from since.

Q. Isn't AYB:Bill just a rehashed version of Minimation Windows?
Not at all.  While Medical Billing Systems, Inc. (MBS, Inc.) did complete a beta version of Minimation Windows late in 2002, it was technically inferior to AYB:Bill and offered very little in the way of new features or flexibility.  Also, AYB:Bill is an original software product produced entirely from original in-house source-code.  While AYB:Bill is similar to and inspired by Minimation in many ways, AYB:Bill's 'core engine' is 100 percent different than Minimation and allows us to provide you with easier updates and more powerful feature additions.  While Minimation has stood the test of time (twenty years), modern and powerful features just can't be added to Minimation due to the limitations of MS-DOS.

Q. I currently use Minimation.  Are there any things I should do to prepare?
A. Yes.  Because AYB:Bill is a modern replacement for Minimation, some things need to be checked and some tasks need to be performed before we come to your office to convert your database and install AYB:Bill.  Although these tasks should not be too difficult, some offices may need to take a little extra time to perform them due to deviation from Minimation's original instructions.  For a printable checklist, click here.  If you have any questions about these tasks, please do not hesitate to contact us.

Contact us to verify that your printer is supported
Some very old dot-matrix printers do not support Windows printing and will need to be replaced.

'Doctor Constants' and 'Referring Doctors'

In your 'Doctor Constants' and 'Referring Doctor' tables, please make sure that doctor names are formatted like this:
JOHN ANYBODY, M.D.   Be sure that you include a comma after the doctor's last name if the doctor's degree is entered.
Please DO NOT format like: DR JOHN ANYBODY

'Patient Insurance' name formatting
In your 'Patient Insurance' records, please make sure that the insured's name is formatted like this:
JOHN L ANYBODY  or, if there is no middle initial: JOHN ANYBODY  Also, if the insured's first or last name is more than one word, such as Van Buren or La Toya, you'll need to hyphenate the two words together, like VAN-BUREN or LA-TOYA, otherwise the converter will incorrectly convert the name.

Responsible and non-responsible patient linking
Please be aware that AYB:Bill does NOT use 'hard linking' between responsible and their non-responsible patients.  What this means is if you use Minimation's family member linking system, the patient links will convert over to AYB:Bill but the linked transactions will not.  AYB:Bill uses a 'soft linking' setup so that responsible patients are linked to their non-responsible patients by reference, but each patient's transactions are separate from other linked patients.  Each patient has their own separate charges, payments and adjustments.  If your office is using Minimation's family member linking, you'll need to make the appropriate adjustments to your linked patients accounts before conversion to AYB:Bill.

'Electronic Code'
In your 'Patient Insurance' records and 'Insurance Names' table, make sure that the 'Electronic Code' is formatted as per the Minimation instructions, such as: BC 12345 NOCD if billed electronically, or PA PAPER NOCD (or blank) if the insurance is not billed electronically.

'Close The Day', 'Clear Daily Totals' and pre-installation posting
Before we arrive to convert your database, please make sure that you have performed a 'Close The Day', and 'Clear Daily Totals'.  Even if you do not regularly perform 'Close The Day', you'll still need to do so before we arrive.  If you don't usually close the day and are concerned about paper usage when printing the very large Daysheet, please consult with us beforehand for a 'print to file' or 'no print' solution that will either print everything to your computer's hard-disk instead of your printer or won't print anything anywhere.  Also, it is very important that after closing the day you should NOT post any further charges, payments or adjustments or enter new patients until after AYB:Bill is installed.  We want you to start with a clean slate, and performing the 'Close The Day' procedure, clearing daily totals and not posting transactions and entering new patients immediately before we come to convert and install is the best way to do this.  Also remember, once you start using AYB:Bill, you must perform 'Close The Day' on a regular basis in order to keep all totals accurate.  AYB:Bill DOES have 'print to file' and 'no daysheet' options when closing the day if you do
not wish to print your Daysheet when closing the day.

Q. How do I order AYB:Bill?
A. If you are a former, current or core AYB Technical Services customer, please contact us to order AYB:Bill and a support package.  If you are a new customer, please contact us for availability and further information.  Because former, current or core customers already have the framework laid with their Minimation databases, it's a relatively simple matter of converting the Minimation database into AYB:Bill format and going from there.  For new customers, we are currently working on setup tools that will make it easy for you to start with AYB:Bill from scratch, or if you require a converter for your non-Minimation database, please let us know right away so we can develop a conversion strategy for you.
